Complete information about how we ship, deliver, and protect your commercial gym equipment.

Overview: How Equipment Shipping Works

CFF Strength Equipment specializes in shipping heavy commercial gym equipment across the United States. All large equipment ships via insured freight carrier and is professionally prepared to withstand standard freight handling. Our process ensures your commercial fitness equipment arrives safely, on time, and in working condition.

This policy covers all freight shipping services offered by CFF Strength Equipment. Equipment shipping is governed by these terms, federal freight regulations, and the applicable freight carrier's liability limits. By purchasing equipment with freight shipping, you accept these terms and conditions in their entirety.

How We Prepare Your Equipment

CFF Strength Equipment takes industry-standard precautions to protect equipment during transit. However, freight shipping of heavy equipment inherently carries risk of damage during transport, even with proper packaging. We cannot guarantee damage-free delivery.

Commercial Freight Carrier: We ship via commercial freight carriers with standard curbside delivery as the default option. The freight carrier, not CFF, is responsible for actual transportation and assumes liability during transport.

Preparation Timeline & Lead Time

Typical Processing Timeline: 5–10 business days

After your purchase is confirmed, we allow 5–10 business days for:

  • Final equipment inspection and testing
  • Professional preparation and protection
  • Custom crate or pallet construction
  • Freight carrier scheduling

You'll receive tracking information and pre-shipment photos once the equipment is released to the carrier. Processing times are estimates only. Delays may occur due to carrier schedules, weather, or equipment availability. CFF is not liable for delays or additional storage fees caused by carrier delays or force majeure events.

Equipment Assembly & Shipping Condition

Commercial equipment ships in partially or fully assembled condition depending on:

  • Type and design of the machine
  • Total weight and dimensions
  • Specific freight carrier requirements

We'll confirm the assembly condition for your specific equipment before shipment. You are responsible for any reassembly, calibration, or setup upon delivery. Any damage caused by improper reassembly after delivery is not covered by CFF or freight insurance.

Equipment Delivery Options

Delivery Type Description Your Responsibility
Standard Freight (Curbside) Carrier delivers to curbside or dock only. Included with all shipments. Carrier will not enter buildings or move equipment indoors. Driver does NOT unwrap or remove equipment from crate. Move equipment indoors and to final location. Unwrap and remove from crate. You assume liability once equipment is at curbside.
Inside / Garage Delivery Carrier brings equipment inside your facility on a pallet jack. Available by special request only. Must be pre-arranged and approved. Requires: hard surface (concrete/black top) AND driveway 30 feet or less. Driver does NOT unwrap or remove equipment from crate. Ensure safe, hard-surface access (concrete or black top only). Confirm driveway is 30 feet or less. Follow carrier instructions. Unwrap and remove from crate. Additional fees apply.

What the Driver Does NOT Do

⚠️ Critical: The freight carrier driver is NOT responsible for:
  • Unwrapping or uncrating equipment. Equipment arrives in protective crate or pallet. You must remove protective materials and unwrap the equipment.
  • Removing equipment from the crate. Equipment must be removed from crate/pallet by you or your crew using appropriate tools and equipment.
  • Assembling or testing equipment. Driver provides delivery only. Any assembly, testing, or setup is your responsibility.
  • Positioning equipment in your facility. Driver places equipment at delivery location (curbside or inside) only. Final positioning and placement is your responsibility.

You are responsible for:

  • Safely removing equipment from crate (typically 2–3 people recommended)
  • Positioning equipment in your desired final location
  • Completing any assembly or setup per equipment manual
  • Testing equipment once installed

Standard delivery to curbside is included with all shipments. At curbside delivery, the freight carrier's responsibility ends. You assume full liability and responsibility for the equipment once it is positioned at curbside or dock. Any injury, damage to property, or other losses after curbside placement are your responsibility, not CFF's or the carrier's.

Hard Surface Requirements for Inside / Garage Delivery

REQUIRED for Inside/Garage Delivery: Your facility must have a hard surface (concrete or black top) that extends from the delivery entrance to the equipment placement location. The pallet jack requires solid, stable ground.

Inside/Garage delivery is NOT available if your facility has:

  • Gravel driveways or surfaces
  • Grass, dirt, cobblestone, or unpaved surfaces
  • Wooden floors that cannot support pallet jack rolling
  • Soft or uneven surfaces inside the facility
  • Narrow doorways or hallways that prevent pallet jack passage
  • A driveway longer than 30 feet from street/parking area to facility entrance

Hard Surface Certification: By requesting Inside/Garage delivery, you certify that:

  • A hard surface (concrete or black top) is available from delivery vehicle to equipment placement location
  • The surface is solid, level, and stable enough for a loaded pallet jack
  • No soft surfaces (gravel, grass, dirt) will block the pallet jack's path
  • Doors, hallways, and passages are wide and clear enough for equipment passage
  • Your driveway is 30 feet or less from street/parking area to facility entrance

Delivery Site Requirements & Access

Required Site Access

Your delivery location must be accessible by a full-size 26-foot freight truck or larger. You are responsible for ensuring the following:

  • Wide enough driveways, gates, and entryways for a 26' truck
  • Solid, level, hard-surface ground (concrete or black top) for truck positioning and pallet jack unloading
  • Clear access without low-hanging wires, branches, or obstacles
  • Ability to receive a large commercial truck during business hours
  • No private roads, narrow lanes, or restricted access without prior disclosure
  • For inside/garage delivery only: Driveway must be 30 feet or less from street/parking area to facility entrance. Longer driveways are not suitable for inside delivery.
  • For standard curbside delivery: Equipment will be unloaded via pallet jack onto a hard surface (your driveway/parking area). Soft surfaces (gravel, grass, dirt) are NOT suitable for pallet jack unloading.
⚠️ Your Responsibility: You must inform CFF of any access limitations, gate codes, restricted hours, or special access requirements BEFORE placing your order. Failure to disclose access issues does not waive your responsibility for payment.

Additional Charges for Limited Access

You are responsible for ALL charges resulting from limited access, including:

  • Redelivery fees: If the truck cannot access your location (typically $500–$3,000+)
  • Redelivery fees (missed delivery): If you are not present at the time of delivery, the truck will leave and a redelivery fee will apply at the carrier's current rate. You must pay the redelivery fee to CFF before a second delivery attempt can be scheduled.
  • Specialized equipment: Crane fees, smaller vehicle shuttles, or manual handling (typically $800–$5,000+)
  • Re-crating and storage: If equipment must be returned to our facility due to access refusal
  • Restocking fee: 25% of original equipment price if equipment is returned unsold

CFF Strength Equipment is not responsible for estimating these fees in advance. These costs are determined by the freight carrier at the time of delivery. You will be liable for all additional charges charged by the carrier. You may be required to pay these fees before taking possession of equipment.

Customer Presence Required at Delivery

Delivery Time Requirement:

  • You are responsible for being present when the freight truck arrives at your scheduled delivery time
  • The carrier will provide a delivery window (typically 1–4 hours) but not a specific time
  • You must be available and ready to receive equipment during this window
  • The truck will NOT wait for you to arrive if you are not at the delivery location

If You Are NOT Present at Delivery:

  • The truck will leave without unloading equipment
  • You will be charged a redelivery fee by the freight carrier at the carrier's current rate (typically $500–$1,500+)
  • You must pay the redelivery fee to CFF before the second delivery attempt occurs
  • If you do not pay the redelivery fee, the freight will be returned to the carrier's warehouse and all associated fees become your responsibility
  • Return freight charges, storage fees, and restocking fees are your sole responsibility
No Wait Time: The freight carrier does NOT wait at your location. If you are not present when the truck arrives, the truck will leave and you will incur additional redelivery charges. There are no exceptions to this policy.

Delivery Refusal

If you refuse delivery for any reason (including inaccessible site, changed mind, etc.):

  • Full freight charges (outbound) remain your responsibility
  • Return freight charges (inbound) are your responsibility
  • 25% restocking fee applies
  • Any storage fees incurred are your responsibility
  • Any CFF fees incurred during return processing, including but not limited to: disassembly, reassembly, testing, crating, inspection, documentation, and administrative handling

Refusing delivery does not cancel your purchase obligation. You remain liable for all costs associated with the refused shipment, including all CFF labor and processing fees.

Tracking, Insurance & Liability Limitations

What You'll Receive

Once your equipment ships, we provide:

  • 📸 Pre-shipment photos: Images of your packaged equipment before pickup
  • 🔗 Freight carrier tracking: Real-time tracking information for your shipment
  • 📋 Shipping documentation: Bill of Lading (BOL) and carrier contact information

Freight Insurance Coverage & Limitations

Insurance Coverage Structure: CFF Strength Equipment provides comprehensive freight insurance coverage through a two-tier insurance system:

Tier 1: Freight Carrier Insurance (Standard)

  • Provided by freight carrier at no additional cost
  • Limited to carrier liability limits: typically $0.50–$1.50 per pound or stated maximum ($5,000–$15,000 per shipment)
  • Covers documented shipping damage only

Tier 2: CFF Rider Policy (Additional Coverage)

  • CFF includes a rider policy on all pre-owned equipment that covers up to the FULL REPLACEMENT COST of the equipment
  • This rider policy supplements the standard carrier insurance
  • Protects you beyond the carrier's per-pound limitations
  • Requires same documentation and compliance procedures as carrier insurance

What Freight Insurance DOES Cover:

  • Damage to equipment that occurs during transport (freight damage)
  • Damage documented at time of delivery via Bill of Lading notation
  • Concealed damage discovered within 24 hours with proper documentation

What Freight Insurance DOES NOT Cover:

  • Concealed defects or manufacturing flaws present before shipment
  • Damage from improper reassembly, operation, or maintenance after delivery
  • Depreciation and wear and tear
  • Indirect damages: Loss of business, lost wages, injury to persons, or consequential damages

Important Limitations:

  • CFF Strength Equipment is NOT the insurance carrier. The freight carrier and their insurance are solely responsible for managing damage claims.
  • CFF assists with claims processing only as a courtesy
  • Both the carrier insurance and CFF rider policy require strict compliance with documentation procedures. Failure to follow procedures voids ALL coverage.
  • Final claim decisions are made by the freight carrier's insurance adjuster, not CFF

Receiving Instructions & Damage Documentation *REQUIRED FOR INSURANCE COVERAGE

Upon Delivery: Inspection Checklist

  • Inspect BEFORE signing. Do not sign the Bill of Lading until inspection is complete.
  • Inspect the pallet, crate, and all packaging for visible damage, dents, cracks, or crushing
  • Note ALL visible damage on the Bill of Lading (BOL). Write detailed descriptions and locations of damage.
  • Take dated photos of all visible damage before unloading equipment
  • Request carrier signature. Ensure the driver signs and dates the BOL damage notation
  • Obtain carrier contact information: Driver name, company name, and claim number
  • Keep all packaging materials until damage assessment is complete (minimum 30 days)
  • Save the Bill of Lading. Do not discard—required for insurance claim

Visible Damage During Delivery: Required Actions

If you notice visible damage to packaging or equipment at time of delivery:

  1. STOP before unloading. Do not accept damaged shipment without notation.
  2. Note damage on Bill of Lading in detail. Example: "Large dent on right side of crate, 6" diameter, affecting frame stability. Photo taken at 2:30 PM."
  3. Request the carrier to note damage. Driver must sign and date your notation.
  4. Take high-quality photos of damage from multiple angles with date/time stamp visible
  5. For severe/catastrophic damage: You may refuse delivery. Contact CFF immediately at (717) 207-7171. However, you remain liable for return freight and restocking fees.

Concealed Damage (Hidden After Unloading)

If damage is discovered AFTER you unload and unpack the equipment:

  • Report within 24 hours of delivery: Contact CFF Strength Equipment within 24 hours. No exceptions.
  • Provide detailed documentation:
    • Clear photos of damage from multiple angles
    • Date and time photos were taken
    • Photos of packaging materials showing how equipment was packed
    • Written description of the damage and when it was discovered
  • Preserve all evidence: Keep all crates, padding, wrapping, and protective materials. Do NOT dispose of packaging.
  • Do NOT attempt repairs. Any repairs made before inspection may void coverage.
Timeline is Non-Negotiable: Claims reported after 24 hours are NOT eligible for coverage, regardless of circumstances. Weather delays, weekends, or holidays do not extend this deadline. 24 hours means 24 hours.

Damage Resolution Process & Limitations

When freight damage is properly documented per the procedures above, CFF Strength Equipment will:

  • Assist in filing a claim with the freight carrier's insurance
  • Provide pre-shipment photos and shipping documentation to the carrier
  • Work to facilitate repair, replacement parts, or full replacement

Important Limitations:

  • CFF does not guarantee resolution. The freight carrier and their insurance make final determination on claims.
  • Replacement is not guaranteed. Carrier may authorize repair only, refund only, or a percentage of value.
  • Processing times are 30–90 days. Carrier insurance investigations take time. You may not receive replacement equipment immediately.
  • Depreciation is deducted. Older equipment may receive less than full replacement cost.
  • Replacement equipment incurs shipping costs. You are responsible for shipping on replacement equipment (unless carrier covers it).

CFF Strength Equipment makes no guarantee that damage claims will be approved, denied, or what compensation (if any) will be provided. All damage claims are the sole responsibility of the freight carrier and their insurance adjuster.

Returns, Refusals & Cancellations

Cancellations Before Shipping

If you cancel an equipment order before it ships but after it has been prepared for freight shipment (crated, palletized, or scheduled):

  • $250 non-refundable cancellation fee applies automatically
  • This fee is non-negotiable and covers labor costs for disassembly, re-crating, disposal, and restocking
  • Cancellation request must be made in writing via email. Phone calls do not constitute cancellation requests.
  • Cancellation is only effective upon CFF written confirmation
  • Equipment cannot be cancelled after carrier pickup. Once the truck arrives, cancellation is not possible.

The $250 fee is non-refundable and deducted from your order price. If the fee exceeds the purchase price, you owe CFF the difference.

Inside/Garage Delivery Fees (Non-Refundable)

⚠️ Inside/Garage Delivery Fees Are NON-REFUNDABLE if delivery cannot be completed as ordered due to site conditions.

If you purchase Inside/Garage delivery and delivery cannot be completed due to any of the following site conditions, the Inside/Garage delivery fee is NON-REFUNDABLE:

  • Facility lacks hard-surface access (gravel, grass, dirt, cobblestone, or unpaved surfaces)
  • Wooden floors unable to support pallet jack rolling
  • Soft or uneven surfaces inside facility
  • Doorways or hallways too narrow for equipment passage
  • Driveway longer than 30 feet from street/parking to facility entrance
  • Other site access limitations preventing safe inside delivery

In these cases:

  • Equipment will be delivered to curbside instead (included with standard freight)
  • Inside/Garage delivery fee is retained by CFF and NOT credited toward anything
  • You are responsible for moving equipment from curbside to desired location
  • Any additional access fees charged by the carrier are your responsibility

Returns After Equipment Ships

Once equipment has shipped, ALL returns are subject to the following charges. No exceptions.

Return costs include:

  • Original freight charges: You already paid these and they are non-refundable
  • Return freight charges: Typically $500–$3,500 or more, depending on equipment weight and distance. Often EQUAL TO OR GREATER than original shipping.
  • 25% restocking fee: Applied to the original equipment purchase price (not negotiable)
  • Carrier rehandling fees: For re-crating, inspection, and processing by the carrier (typically $200–$500)
  • CFF processing fee: $150 for return paperwork and administrative handling
  • Storage fees: If equipment is held at our facility beyond 5 business days (typically $50–$150/day)

Return Process & Refund Calculation

The net refund amount may be significantly less than your original purchase price—often 40–60% less. Some returns result in zero refund or a balance owed to CFF.

Return Conditions & Limitations

  • Equipment must be refused or returned in original condition. Used equipment cannot be returned.
  • Only shipping damage is exempt from restocking fees. No other returns receive fee waivers.
  • Equipment must be returned within 30 days of original delivery. Returns after 30 days are not accepted.
  • Customer arranges return pickup. We do not arrange return shipment. You pay the freight carrier directly.
  • No verbal return authorizations. All returns must be requested in writing via email and receive written confirmation from CFF before arranging carrier pickup.

What Happens After We Receive Returned Equipment

  1. Equipment undergoes inspection (3–5 business days)
  2. Inspection report is issued (may identify damage, wear, or operational issues)
  3. Deductions are itemized and explained in writing
  4. Net refund amount is calculated
  5. Refund is processed to original payment method (5–7 business days)

Refunds may be reduced further if inspection reveals damage or wear not visible from photos.

Limitation of Liability & Disclaimer

CFF Strength Equipment's Liability is Limited to:

  • Assistance with freight carrier damage claims (only if proper documentation is provided)
  • Repair or replacement of equipment (at CFF discretion, subject to freight insurance limits)
  • Processing returns per the policy above

CFF is NOT liable for:

  • Any damage that occurs during freight transportation (freight carrier is liable, not CFF)
  • Damage or losses that occur after equipment is delivered to curbside or dock
  • Any injury to persons caused by equipment or shipping damage
  • Damage to your property, flooring, walls, or other structures caused by delivery or placement
  • Lost profits, lost business, lost wages, or consequential damages
  • Delay in delivery or equipment unavailability for use
  • Delays in processing damage claims or insurance decisions
  • Decisions made by freight carriers or their insurance adjusters
  • Defects or failures in equipment after delivery (covered by product warranty separately)
  • Incorrect assembly, operation, or maintenance by you or others after delivery
  • Damage from improper use, neglect, or environmental damage after delivery
  • Any claims arising from third-party carriers' negligence or actions

Freight Carrier Liability Only: CFF does not insure or warrant equipment during transportation. The freight carrier assumes all liability during transit. If damage occurs, your claim is against the carrier's insurance, not CFF.

YOUR ASSUMPTION OF RISK: By ordering equipment with freight shipping, you acknowledge and accept that:

  • Freight shipping of heavy equipment carries inherent risk of damage
  • No shipping method is 100% damage-free, even with insurance
  • You are responsible for inspecting equipment upon delivery
  • You assume liability for equipment once it is at curbside or accepted location
  • You may wish to obtain separate insurance (shipper's insurance) for added protection beyond freight carrier limits
